Booking & cancellation policy
1. Enquiries and quotations
We use your enquiry to discuss an itinerary and check practical options. A quotation is an offer for the stated itinerary, travellers, dates, validity period and assumptions. Supplier space, park permits, transport and rates may change before confirmation.
2. When a booking is confirmed
A booking is confirmed only when Kafu Safaris sends written confirmation and receives the required deposit or payment stated in the quotation. Until then, displayed departures and quoted services remain subject to availability. The confirmed quotation and invoice form part of the agreement and take priority where they state trip-specific payment or cancellation terms.
3. Payment
Amounts, currency, due dates and payment instructions are stated in the quotation or invoice. Bank, card or transfer charges and exchange-rate differences are the traveller’s responsibility unless we agree otherwise in writing. Failure to pay by a due date may allow Kafu Safaris to release unconfirmed or unpaid services after reasonable notice.
4. Traveller cancellation
Tell us in writing as soon as possible if you need to cancel. Cancellation takes effect when Kafu Safaris receives the notice. The trip-specific schedule in your confirmed quotation applies. Deposits are generally non-refundable, and charges usually increase closer to departure because permits, accommodation, transport and other supplier costs may already be non-recoverable.
5. Changes requested by a traveller
We will try to accommodate a requested change, but it is subject to availability and supplier terms. Any additional price, non-recoverable cost or administration charge will be explained before the change is confirmed. A major change may be treated as a cancellation and new booking where suppliers require it.
6. Changes or cancellation by Kafu Safaris
Routes, accommodation or activities may need to change for safety, weather, road conditions, permit availability, supplier failure or circumstances outside reasonable control. We will communicate a material change and, where reasonably possible, offer a comparable alternative, credit, rescheduling option or refund for the recoverable affected portion. We do not describe an alternative as confirmed until the relevant suppliers confirm it.
7. Refunds
Any refund depends on the confirmed trip terms and amounts actually recoverable from suppliers. Eligible refunds are normally processed within 30 days after the amount has been agreed, less disclosed non-recoverable supplier, bank or processing costs. The receiving bank or payment service may take additional time.
8. No-shows, delays and unused services
No refund is normally available for services missed because a traveller arrives late, does not appear, leaves early, lacks required travel documents, or chooses not to use an included service. Contact us promptly during a trip so we can assess practical alternatives.
9. Travel insurance
Comprehensive travel insurance is required and should cover medical treatment, emergency evacuation, cancellation, interruption, baggage and personal liability. Buy appropriate cover as soon as a booking is confirmed and check that safari activities and all destinations are included.
10. Relationship to the terms
This policy should be read with the Terms & conditions and the trip-specific quotation. If they conflict, the trip-specific written terms govern that booking to the extent permitted by law.
