Terms and Conditions

Please take time to read the terms and conditions of Kafu Safaris services. Confirming a safari with Kafu Safaris assumes that you have read, fully understood, and accepted the terms and conditions described below. If you have any questions, please contact us before confirming your trip.

Bookings

How reservations, special requests, and itinerary changes are handled.

  1. Kafu Safaris provides transportation, accommodation bookings, restaurant meals, excursions, and other services in cooperation with independent suppliers.
  2. All information detailed in client itineraries is given to the best of Kafu Safaris knowledge and based on the latest information available. Kafu Safaris cannot be liable for modified information from third parties, nor for obvious typing errors.
  3. To reserve flights and gorilla permits we need your full names as they appear in your passport, your nationality, and your passport number.
  4. Before confirming a safari, the client must inform Kafu Safaris of any preferences and special requests of the participants, including medical needs, diet, disability-related requirements, and any other requirements. Kafu Safaris will meet the requests where possible.
  5. All packages are subject to availability and are not guaranteed until confirmed. Many lodges and hotels offered by Kafu Safaris have limited capacity, so it is essential to make reservations well in advance of your planned trip.
  6. If you wish to amend your reservation in any way, Kafu Safaris will make the preferred adjustment where practicable and possible and confirm accordingly. Kafu Safaris reserves the right to charge an amendment fee relative to the actual costs, which will be added to the total invoice.
  7. Kafu Safaris reserves the right to change and re-adjust the tour schedule, transportation, accommodation, and services indicated in the itinerary in the event of unforeseen circumstances before arrival. Any changes to the itinerary will be communicated to the client as soon as possible.

Prices

What is included, what is excluded, and when prices may change.

  1. The prices quoted for the various safaris are as per the itinerary and include the following services, unless stated otherwise: overnight accommodation in hotels, guesthouses, tents or lodges, all meals as indicated, sightseeing as detailed in the itinerary, park entrance fees and ranger fees, airport transfers where applicable, ground transportation, English-speaking driver/guides, and bottled mineral water in the vehicle.
  2. Expenses that are not covered include international and domestic air fares, visas and passports, meals not mentioned in the itinerary, drinks other than the mineral water provided in the vehicle, tips and gratuities for guides and accommodation staff, laundry, travel insurance, and other items of a personal nature.
  3. Prices on the website or quoted to clients are subject to change without notice and are not guaranteed until confirmed in writing.
  4. Kafu Safaris reserves the right to adjust prices at any time should there be any fluctuation in exchange rates or an increase in the cost of any element of the tour. The company will make every effort to minimize any increases.

Execution of the tour

Safari operations depend on wildlife, road conditions, suppliers, and national park rules.

  1. It is a privilege to see animals in their natural habitat and we cannot guarantee wildlife or game viewing. You must take caution when viewing animals and carefully follow instructions given by the tour guide or wildlife rangers.
  2. A gorilla or chimpanzee permit guarantees that clients will be able to track the primates in question, but does not guarantee that the animals will be in plain sight.
  3. Accommodation is based on a twin or double bedded room, tent, or banda with private bathroom where possible. Single rooms may be available with payment of a supplement fee, but availability cannot always be guaranteed.
  4. Kafu Safaris reserves the right to substitute equivalent or superior hotels. If a hotel of equivalent standard is not available, Kafu Safaris may substitute the next best quality hotel or suggest superior standard accommodation. Extra charges may apply.
  5. The mode of transport used will depend on the number of clients and the route taken, based on the specifications of the chosen itinerary. Every effort is made to ensure vehicles are roadworthy, but no liability can be accepted for punctures, breakdowns, damage, or delays caused by poor road conditions.
  6. Experienced English-speaking driver/guides are a key part of your tour. They are the only persons allowed to drive Kafu Safaris vehicles. The driver’s decision on all matters, including the route taken, is final.
  7. Kafu Safaris reserves the right to alter any route or arrangement, cancel the operation of any scheduled tour, or vary safari services in the event of unforeseen circumstances such as road closures, bad weather, national park or hotel problems, or security considerations. Alternative arrangements will be made as circumstances permit.
  8. Kafu Safaris reserves the right to employ subcontractors to carry out all or part of the services agreed to be supplied.
  9. Kafu Safaris reserves the right to refuse any person from participating in or continuing any tour if, in the opinion of Kafu Safaris or any person in authority, the person behaves in a way likely to cause danger, hazard, inconvenience, property damage, or environmental damage. No refunds will be made and Kafu Safaris shall not be liable for expenses incurred as a result of termination.

Payment

Deposits, balances, late bookings, and transaction charges.

  1. All tours will be booked and confirmed only upon receipt of a 30% deposit of the basic program rate. For gorilla permits, full advance payment of the permit fee is required in order to make the reservation.
  2. The payment balance is due no later than 42 days prior to the safari, unless agreed otherwise.
  3. Bookings made within 42 days before arrival must be paid in full at the time of confirmation.
  4. If payment is not received in accordance with the above, Kafu Safaris has the right to cancel the booking.
  5. Payment can be made by VISA credit card, bank transfer, or cash before the start of the safari. Payments by VISA credit card attract a 5% service charge. Credit card transactions must be made at least two months prior to the start of your safari. Traveller cheques are no longer accepted.
  6. The costs of international transactions, or the 5% service charge in the case of credit card payments, are to be fully paid by the client.

Cancellations And Refunds

Cancellations must be submitted in writing, and cancellation fees are based on how close the cancellation is to the departure date.

  1. 5.1 Cancellations must be made in writing and are only valid once received by Kafu Safaris.
  2. 5.2 Cancellation fees apply based on how close the cancellation is to the departure date.

1. Trips without gorilla permits or airline tickets with strict deadlines

  • Up to 28 days before departure70% of total travel cost
  • 27 to 14 days before departure80% of total travel cost
  • 13 to 7 days before departure90% of total travel cost
  • Within 7 days of departure100% of total travel cost (no refund)

2. Trips with gorilla permits and/or non-refundable airline tickets

Gorilla permits and some flights are non-refundable.

  • Up to 28 days before departure70% of land arrangement + 100% of gorilla permit/flight cost
  • 27 to 14 days before departure80% of land arrangement + 100% of gorilla permit/flight cost
  • 13 to 7 days before departure90% of land arrangement + 100% of gorilla permit/flight cost
  • Within 7 days of departure100% of total travel cost (no refund)

5.3 No refunds are provided for:

  • Unused services
  • Late arrivals
  • No-shows

Travel And Cancellation Insurance

Insurance is required for all travelers and must be arranged after booking confirmation.

  1. 6.1 Travel and cancellation insurance is required for all travelers. You must arrange your own travel insurance with worldwide coverage once your booking is confirmed.
  2. 6.2 Proof of insurance, such as a copy of your insurance policy, must be provided before the trip. If you need help selecting a policy, Kafu Safaris is happy to advise.
  3. 6.3 In case of cancellation or any incident during your trip, you must contact your insurance provider first.
  4. 6.4 If you do not have valid insurance, you will be personally responsible for any associated costs. Kafu Safaris will not be liable, and no claims can be made against us.
  5. 6.5 Any damage, loss, or costs that your insurance could cover cannot be claimed from Kafu Safaris.

Complaints

How to report concerns during and after the tour.

  1. Kafu Safaris shall try to ensure that the company exceeds expectations in every area of the tour arrangements. Suggestions are appreciated in order to keep improving service quality.
  2. Complaints must be reported immediately to the Kafu Safaris representative and to the supplier of the service in question, who will do their best to resolve the matter. If the problem is not solved to the client’s satisfaction, the complaint should be reported in writing not later than 30 days after completion of the tour.
  3. Liability for complaints not notified in accordance with the procedure above cannot be accepted.

Liability

Responsibilities, limitations, documentation, health precautions, and force majeure.

  1. Kafu Safaris will make every effort to ensure that all arrangements and services offered as part of the safari are carried out as specified in the most efficient way possible. However, the company does not have direct control over services provided by suppliers and does not accept liability for errors or omissions of such suppliers.
  2. Kafu Safaris shall not be liable for any loss, damage, or injury of any nature whatsoever, whether to person or property.
  3. Whilst every care is taken, Kafu Safaris cannot be held responsible for direct or indirect costs of loss or damage to baggage or personal possessions.
  4. Kafu Safaris cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays or cancellations, war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical or mechanical transport problems, and similar events beyond the company’s control.
  5. It is the responsibility of the travel agency or wholesaler to ensure that all tour members have the appropriate passports, visas, travel permits, health certificates, and other documentation required for the safari.
  6. It is the responsibility of the clients to take proper medical and practical precautions regarding health and safety. Medical advice should be sought well before travelling.
  7. Clients are strongly advised to obtain comprehensive travel insurance before coming to Uganda. Local evacuation coverage is available in the unlikely event of a medical emergency while on safari with Kafu Safaris.
  8. The respective laws of the country govern Kafu Safaris liability to passengers carried in its own vehicles. All claims are subject to the jurisdiction of the courts of the country in which the cause of action arises.
